Job Description

The Logistics Assistant supports the efficient and compliant management of logistics activities in Herat base, in line with INTERSOS procedures and donor requirements. This includes procurement follow-up, stock/inventory management, fleet and asset monitoring, and general logistics support to program and support staff.

Key Responsibilities

Key Responsibilities:
Procurement & Supply Chain

- Support the preparation and collection of Purchase Requests (PRs) at field level.
- Assist in launching RFQs and collecting quotations from suppliers, in line with INTERSOS thresholds and SoP-37.
- Ensure proper filing of procurement documents and that supplier information (license, TIN, bank details) is collected.
- Liaise with the Kabul Logistics/Procurement team for approvals and coordination.

2. Stock & Inventory Management

- Maintain accurate records of items received, stored, and dispatched.
- Support monthly stock counts and prepare reports to be shared with Kabul Logistics.
- Ensure goods are stored safely and properly labeled, respecting FIFO/LIFO principles.

3. Fleet & Transportation

- Coordinate movement of staff and goods within Herat (car rentals, drivers, travel requests).
- Monitor fuel consumption, mileage logbooks, and vehicle service schedules.
- Liaise with Kabul fleet unit for reporting and support.

4. Asset & Equipment Management
- Support asset registration and tagging of equipment delivered to Herat base.
- Maintain updated asset and equipment lists, reporting any losses, damages, or transfers.
- Monitor the use of office equipment (printers, scanners, generators, solar systems).

5. Administration & Support

- Support the Herat office with logistics arrangements (office supplies, utilities, communication means).
- Assist in organizing trainings, workshops, and meetings (venue booking, refreshments, equipment setup).
- Provide day-to-day support to staff for logistics needs.

Reporting & Coordination

- Provide weekly updates on procurement, fleet, and stock to Kabul Logistics.
- Report immediately any security or compliance issues affecting logistics operations.
- Coordinate closely with Admin/Finance and Programs for smooth support functions.

Requirements

Education: Minimum Diploma or Bachelor’s degree in Logistics, Business Administration, or related field.
- Experience: At least 1–2 years in logistics, procurement, or supply chain, preferably with NGOs.
- Skills:
• Good knowledge of MS Office (Excel, Word).
• Familiarity with procurement and logistics processes.
• Strong organizational and communication skills.
• Ability to work under pressure in insecure environments.
- Languages: Fluent in Dari and Pashto; basic English required.
- Other: Commitment to humanitarian principles, confidentiality, and INTERSOS code of conduct.
Terms & Conditions

- Duty station: Herat base, with possible travel to field sites.
